Tools, apps and resources to make running your successful coaching business faster, easier and more fun.

All of the books, tools and resources here are the ones that I have used to build my coaching practice.

Business Essentials

  • squarespace offers a simple website builder  as well as mailing list, appointment CRM and online course platform.

    Yes, I’m biased - I love Squarespace and it just keeps getting better. Now you can run your entire business through one provider: domain, website, mailing list, membership area, ONLINE COURSES, calendar booking and CRM. If you are looking for an all-in-one (and yes it does have SEO) you won’t get it easier than Squarespace.

    Can you do it cheaper? Probably. But it’s a LOT more work that takes you away from your coaching practice.

    Squarespace includes built in SSL, site back ups, automatic updates to security (no plugins!) and has an online Helpdesk that will get you sorted whatever you need to do.

    You can build it cheaper but it will cost you more in time.

    Mailerlite

    Building your email list is essential - do not rely on social media account. You can’t start building your email list too soon.

    Mailerlite is a robust mailing list company with HUGE potential. You can create aesthetic looking forms, webpages and it is amazing for getting your lead magnets to people quickly. It is hugely customisable and (so far) they offer up to 1000 subscribers for free. It also integrates beautifully with Thrivecart and other online business tools. It also protects your precious email list and will help you stay on the right side of GDPR legislation.

  • Social Media is powerful but a time drain. Using a scheduling tool with powerful Analytics like metricool will make it easier to manage.

    Social media is a powerful way to connect and serve people - it can also use up hours of your day if you struggle to switch off the infinite scroll cough.

    Metricool is incredible: literally life changing when used fully. Their free plan is amazing: - to manage one brand you get: Management of all your brands’ social media accounts (excluding LinkedIn).

  • Canva graphic creation for social media websites business cards websites leaflets

    Canva

    If you don’t have Canva - ten years old and growing stronger - you can get a free account with just about all the functions you need.

    Create a few simple templates - there are thousands - and keep them consistent on your social media profiles.

    You can now use Canva to create presentations that you can use in webinars and videos for clients, as well as creating full website pages that are hosted by Canva.

    The paid tier offers social media scheduling - and if you decide to use Metricool, you can share your designs straight into your scheduler for the month ahead, without downloading it first.

    ClickUp

    Clickup will take a bit of learning but it easily replaces all those ‘productivity’ tools with some seriously powerful potentials. Want to automatically respond to incoming emails with customised responses for each type of query? Yup. Want to collaborate with an admin or other coaches online? No problem. Want to plan ahead using Gantt charts, Kanban boards, calendars? No problem. Want to track how long you’re spending on each individual task? Yup.

    Clickup is almost limitless in potential - and it is a lot more secure than Notion, which I also love but would not use to store any information I’m not happy with anyone having access to (like client emails for example).

    Even better, it integrates with all your other tools - google drive, google mail, zapier, etc. If you want to record a video showing a new team member how to do something, it has free video recording so it can replace Loom as well as Toggle for time tracking.

    The free version does almost everything you could possibly need so try it out - and give yourself time to play and watch the onboarding videos.

  • Practice all in one coaching service platform CRM client management

    Practice

    I can’t imagine my work without Practice now. I almost feel bad for not telling everyone about it all the time. If you work with coaching clients, you need Practice.

    You can book free or paid calls, sell packages, offer digital products (including PDFs or books), set different calendar availabilities for different types of appointment or for holidays, limit your appointments per day… phew.

    Then you get to the smart actions: no more worrying if you’ve remembered to follow up and send a form or clients not showing up - send an SMS reminder before the appointment and then an email with their session review form.

    Did I mention you can customise your forms? not just a simple ‘type the text’ kind either… Phew.

    Best of all, they now offer a Teams tier - get your VA on board and add other coaches as your practice grows.

  • Descript video audio editor for podcasts YouTube instagram tiktok Facebook

    Descript

    If you’re using video or audio, and you want a simple visual way to create show stopping videos, use Descript.

    The editor is ‘text’ based - so you can create cuts, add or remove words and other visual elements like stock video, all using a ‘word document’ - it’s so, so simple.

    Best of all for me are the audio adjustments - if you don’t have a home studio to record your podcast, just run it through ‘Studio Sound’ (although not at 100% or you’ll sound a bit too automated).

    Descript has also partnered with Squadcast, so you can now use their high quality platform for video interviews for podcasts or YouTube films.

    Once you have recorded your video and edited it (horizontally or vertically) you can copy it into a different format, extract the audio, download the transcript for show notes or a file, export directly into YouTube…

    There’s even an ‘audio correct’ facility so you can clone your voice and add new words - we’ve all done it…

Coaches - it’s ALWAYS easy - it’s how we THINK about it that’s hard.

Instead of gripping on to your feelings of hustle, grind, busy and stress - let that go. Please. We get to do the most amazing work in a time when we can literally talk to someone thousands of miles away in our pyjamas.

I’m part of the generation who grew up without the internet and let me tell you - for all the negativity and problems, it’s STILL a blessing. We just need to use it - and our minds - the right way.
